Enhancing Product Management in NetSuite with Item Collections

Item collections provide a structured way to group catalog items in NetSuite. These collections can include items that are unrelated or based on specific criteria, such as vendor, location, or other business requirements. The flexibility of item collections allows businesses to organize and manage products effectively.

Key Features of Item Collections

With item collections, you can:

  • Assign an item to multiple collections.
  • Manually add selected items to a collection.
  • Automate item inclusion using saved searches.

Item collections support all item types available in NetSuite. However, for matrix items, only the parent item can be added, representing all associated child items.

One of the key uses of item collections is in personalized catalog views. Businesses can create item collections tailored to specific customer groups, ensuring a customized shopping experience.

Roles and Permissions for Item Collections in NetSuite

To create and manage item collections in NetSuite, users must have a valid NetSuite account and a role with the necessary permissions. By default, the following roles include the required permissions:

  • Administrator
  • Store Manager
  • Marketing Manager
  • Sales Manager
  • Marketing Administrator

Creating Item Collections in NetSuite

In NetSuite, item collections can be created in two ways:

  • Static Item Collections – Items are manually added and removed. This type is ideal when the items in the collection do not share common properties or cannot be grouped based on specific criteria.
  • Dynamic Item Collections – Items are automatically added and removed based on a saved search. Whenever an item meets the saved search criteria, it is automatically included in the collection, ensuring real-time updates.

Steps to Create a Dynamic Item Collection in NetSuite

To set up a dynamic item collection, follow these steps:

Navigate to List> Accounting >  Item Collections > New.

  1. In the Name field, enter a descriptive name (up to 200 characters) for the collection.
  2. Provide a brief description of the item collection.
  3. Enable the Dynamic option by toggling the setting.

                   Note : Item collection type (Dynamic or Static) cannot be changed after saving.

  1. Select a saved search from the Saved Search list for dynamic collections.
  2. Click Save to complete the process.

To set up a static item collection, follow these steps:

Navigate to List> Accounting >  Item Collections > New.

  1. In the Name field, enter a descriptive name (up to 200 characters) for the collection.
  2. Provide a brief description of the item collection.
  1. On the Items subtab, choose one of the following methods:
  2. Add Multiple Items: Click Add Multiple, select items, and move them to Current Selections. Use Shift or Ctrl for multiple selections.
  3. Search & Filter: Use the search box or filters to find specific items
  4. Add Individually: Select items from the Name field, searching by entering at least three characters.

Click Save to finalize the selections.
